How big is a 65-inch screen?

“65 inches” is the diagonal measurement, not the width. At a 16:9 aspect ratio, the dimensions below help designers choose text sizes and layouts before creating artwork:

Item Calculated size Calculation
Screen width Approximately 1,439 mm 65 inches × 0.8716, the 16:9 width factor
Screen height Approximately 809 mm 65 inches × 0.4903, the 16:9 height factor
Display area Approximately 1.16 m² 1.439 × 0.809
Aspect ratio 16:9(1.78 : 1) Standard television aspect ratio

A useful comparison: This truck's 65-inch TV has a display area of approximately 1.16 m², while the LED advertising truck P3 screen measures approximately 3.5 × 1.8 m, or 6.3 m²—about 5.4 times the area of the 65-inch TV. This explains their different roles: the TV suits close-up presentations at one to three metres inside the cabin, while the LED screen provides visibility at a distance on the street. If your campaign needs both, give two vehicles separate roles rather than expecting one to do everything.

The TV's standard 16:9 ratio means ordinary 1920 × 1080 videos can be used directly, without the special canvas needed for an LED truck. This is a significant content-production time saver.

These are geometric reference calculations based on a 65-inch diagonal and 16:9 aspect ratio. Confirm the actual model, viewable size, resolution, inputs and supported formats in the equipment specifications for the vehicle booked.

What is a mobile exhibition truck?

Also called a mobile display truck, showroom truck or brand-experience vehicle, it uses its cabin as a display and interaction space, with televisions, lightboxes, banners, sound, connectivity, products and event equipment added as required.

Its distinction from an ordinary advertising truck goes beyond size: visitors can stay, watch, learn about products and participate at a lawful, safe and prearranged venue. It brings some functions of a conventional exhibition booth to different areas, reducing the need to rebuild a complete stand at every stop.

Mobile advertising and mobile exhibitions compared

Comparison Standard mobile advertising vehicle Multi-purpose promotional / exhibition truck
Main objective Be seen while driving Encourage visitors to stay, learn and interact
Main content Vehicle graphics or LED visuals Products, video, lightboxes, displays and activities
Operating format Driving, slow tours or brief stops Primarily stationary displays at authorised locations
Performance indicators Routes, exposure and scans Attendance, dwell time, trials, registrations and conversions
Key compliance considerations Road use, parking and vehicle-advertising rules Venue approval, personal data, food and performance licences
Venue requirements Mainly road access and parking Also entrances, clear height, space, power and visitor flow

For video visibility at a distance, daily offer updates or evening shopping-district exposure, consider an LED advertising truck; for older districts, housing estates or narrow streets, consider a Mini promotional truck; for performances and ceremonies, use a Mobile stage truck。

How do you choose between exhibition, LED and mini trucks?

These three formats address different needs. Start by asking: Do you need people to see you, stay with you, or be reached on smaller streets?

Consideration Mobile showroom truck LED advertising truck Mini promotional truck
Core capability Dwell time, displays and interaction Visibility at a distance and updateable content Street access, supply transport and distribution
Display area 65-inch TV, approximately 1.16 m² P3 screen of approximately 6.3 m² Mainly vehicle graphics
Viewing distance About one to three metres inside the cabin P3 is most comfortable at three to six metres Close-range pedestrian contact
Can content change? Video can change; lightboxes and banners require reprinting Yes; supply new digital files No; vehicle graphics must be remade
Is venue approval needed? Almost always Primarily driving; approval needed for stationary activity Depends on whether distribution takes place at a fixed location
Can it support member registration? Yes, with Wi-Fi and cabin space Primarily through QR scans Can combine registration with staff distribution
Typical role in a combined campaign Main experience area Attracting visitors from surrounding areas Neighbourhood outreach

Established campaigns often combine them rather than choosing only one: the exhibition truck hosts the main experience, the LED truck attracts visitors nearby, and the mini truck reaches neighbourhood streets. For a detailed comparison, see Five Vehicle Types Compared: A Selection Guide。

Experience Design

What activities can an exhibition truck support?

Product displays

Present new products, samples, packaging, models or ranges in a complete branded environment.

Video playback

Use the 65-inch TV for brand introductions, demonstrations, instructions, event videos or service information. Its standard 16:9 ratio supports existing material directly.

Changing information

The LED scrolling banner can show the event name, times, greetings, offers or schedules. Confirm character limits and formats for the equipment.

Lightboxes and brand visuals

Pop-up lightbox and standard banners establish the main visual theme, product categories and branded backdrop.

Product trials

Arrange trials, demonstrations or staff explanations according to cabin space, products, hygiene, power and venue conditions.

Member and event registration

Use Wi-Fi, QR codes, tablets or registration pages to collect applications and membership details, while meeting legal personal-data requirements described below.

Distribution and gift redemption

Use leaflets, samples, gifts, vouchers and discount codes to turn on-site contact into measurable participation.

Sound and presentations

Use internal 2.1 or external 4.1 speakers for video, presentations and event cues. Control the volume and avoid causing a nuisance.

Touchscreens, VR, livestreaming, extra LED screens, product racks, photography equipment and other additions are not listed standard equipment. Request them before quotation and confirm technical, space, power, venue and cost feasibility.

Which events suit a mobile exhibition truck?

Product launches and hands-on experiences

Ideal for products that benefit from viewing, trial or staff explanation. An LED truck can build awareness nearby while the exhibition truck hosts a stationary experience. See Complete promotional plan for product launches。

Mobile pop-up shops and showrooms

Bring displays, video, registration and brand experiences into the truck. For on-site transactions, payments or sales, confirm venue, commercial-activity and other applicable requirements first.

Shopping-centre roadshows

Use an approved location to combine shopping-centre footfall with promoters, trials, gifts and member registration. Confirm goods access, clear height, floor loading, setup and removal times and insurance before arrival.

Store openings

The exhibition truck can host an opening's displays and experiences, supported by mini trucks in the neighbourhood or LED trucks nearby. For a three-day opening plan, see Practical advertising truck strategies for store openings。

Food, sampling and culinary events

The truck can host brand displays and sampling. Reheating, cooking or selling food requires prior confirmation with FEHD and venue management of licensing, food sources, equipment and handling. See Mobile advertising strategies for food businesses。

Education, charity and community events

Show educational videos and information, offer QR quizzes and service registration, and visit neighbourhoods on a fixed touring schedule.

Cars, appliances and large products

For physical displays, confirm cabin dimensions, entrances, equipment weight, securing methods, power and transport. A “large display truck” label alone does not establish suitability.

Finance, insurance and corporate promotions

Use business districts or event venues for videos, service explanations, member registration and brand experiences, with dedicated QR codes to track enquiries. Consent is especially important where financial or insurance promotions involve later telephone or email follow-up.

Recruitment and campus promotions

Create a stationary recruitment point near industrial areas, business districts or campuses, with company videos, job information and on-site CV or application collection.

How does the equipment support the event flow?

Equipment Main uses Confirm before the event
65-inch TV Videos, images, product demonstrations and event information Inputs, aspect ratio, file format and audio requirements
LED scrolling banner Brand name, times, greetings, offers and schedules Character count, colour, speed, language and readable distance
Pop-up lightbox banner Main visuals, product categories and brand identity Print dimensions, artwork canvas, safe area and production lead time
Pop-up banner Event information, display backdrops and space divisions Quantity, size, position and clear access routes
Air conditioning Improves conditions for staff and visitors inside Electrical load and effectiveness with doors open
Internal 2.1 speakers Video audio and interior presentations Volume, event flow and cabin acoustics
External 4.1 speakers Outdoor announcements and presentations Venue rules, nearby homes and noise limits
Wi-Fi QR scans, registration, tablets and online displays Local network coverage, user numbers and backup connection

Test all equipment before the event. Wi-Fi speed and stability depend on mobile coverage, venue structures and simultaneous users. Prepare a backup connection if live registration or streaming is critical.

Different materials have different lead times

This is a common source of project delays.TV videos can change within days, but lightbox films and banners require printing, and vehicle sticker production and application take around 14 days. Work backwards as follows:

  • 14 days before: finish printing vehicle stickers and begin installation, if required
  • 7–10 days before: print and deliver lightbox films and pop-up banners
  • 5–7 days before: finalise TV videos and scrolling text
  • 2–3 days before: test all equipment, including video proportions, volume, scrolling text and registration

For production details, see The complete advertising truck production process。

Content and space design principles

Plan the visitor route first

Decide where visitors enter, what they see, where they try products or register, and how they leave. Displays must not obstruct doors, emergency exits, staff positions or cable routes.

Attract outside; explain inside

Exterior banners should show the brand, one core benefit and a clear call to action. Keep product details, videos and registration inside rather than crowding the exterior with full descriptions.

Do not simply replay unadapted social videos on the TV

Vertical social clips may not suit a horizontal television. Existing 1920 × 1080 landscape content fits the standard 16:9 screen, but 9:16 clips leave large black margins. Confirm orientation and aspect ratio, then adapt captions, product images and logos.

Keep scrolling messages short

Use brief, readable messages at a suitable speed. Long sentences make viewers wait; excessive speed reduces legibility.

Set one main conversion goal

Avoid asking people to follow social accounts, complete a form, download an app, shop and enter a draw all at once. Choose one main action and handle secondary goals on subsequent pages.

Test QR codes at the venue

Test different phones, light levels, angles and distances, leaving sufficient clear space. Provide a short URL as a fallback for busy events.

Staffing influences results more than equipment

Conversions depend heavily on active invitations. With the same truck and equipment, two briefed promoters can generate several times the participation of a vehicle left unattended. Staffing can be combined with Event production services。

Legal requirements for on-site personal-data collection

This is often overlooked despite its significant risk. Core exhibition-truck functions include member registration, prize-draw entry, trial registration and surveys—all involving personal data. Later promotional messages, follow-up calls or sharing with partners fall within the direct-marketing provisions of the Personal Data (Privacy) Ordinance.

Four requirements before using personal data for direct marketing

Unless an exemption applies, a data user intending to use someone's personal data for direct marketing must first inform the person of:

  1. the intended direct-marketing use
  2. the kinds of data to be used, such as name, email address and telephone number
  3. the classes of marketing subjects involved
  4. the need for their consent before such use

They must also provide a response channel for consent or an indication of no objection. This prescribed information must be easy to understand and read。

Silence is not consent

Valid consent must be explicit and voluntary. Failure to respond cannot be treated as consent. However, consent under the Ordinance includes an indication of no objection. Returning a completed, signed form agreeing to its terms without ticking an objection box may constitute consent. Registration-form wording and checkboxes must therefore be very clear.

Verbal and written consent compared

Use Consent requirement Additional steps
Own direct marketing Verbal consent may be obtained Within 14 days, provide written confirmation of the consent date and the permitted kinds of personal data
Providing data to third parties for direct marketing Written consent is required Both the notice and response must be in writing. Disclose any transfer for gain and the classes of recipients

Significant penalties

Failing to meet the requirements or using data for direct marketing without consent is a criminal offence:

  • General breach of direct-marketing provisions: Maximum HK$500,000 fine and three years' imprisonment
  • Non-compliant provision of personal data to third parties for direct marketing for gain: Maximum HK$1,000,000 fine and five years' imprisonment

Even with consent, the data user must, on the first occasion of direct-marketing use, inform the person of their right to opt out. They may request cessation at any time, without charge, and the data user must stop on receiving the request.

Practical steps

  • Prepare a standard Personal Information Collection Statement for paper and online forms before the event. Use readable text rather than tiny print.
  • Use separate checkboxes for direct-marketing consent, distinct from event registration; do not bundle them.
  • If an agency or third party helps run the event, clarify the data user, who holds the data and whether it will be transferred.
  • Collect only what the event actually needs, not extra fields that might be useful later.
  • Plan secure storage, transport and destruction of paper forms; do not leave them exposed in the cabin.
  • If obtaining verbal consent, establish a process for written confirmation within 14 days.

This information comes from published HKSAR Government and Privacy Commissioner materials and is general information, not legal advice. Exemptions exist, including certain offers or advertising of social or healthcare services, except provision of data to others for direct marketing for gain. Consult the current Ordinance and guidance, and have your legal or compliance team approve forms and statements.

Prize draws, gifts and games

Draws, capsule machines, prize wheels, games and gifts can increase dwell time and registration. In addition to personal-data issues, these activities may involve licensing.

Lottery activities may require a licence

In Hong Kong, lottery licences are administered as entertainment licences by the Home Affairs Department's Office of the Licensing Authority, with dedicated forms and guidance. If your event is lottery-like, confirm the licence requirement, timing and conditions with that office first.

Different formats raise different issues

Format Questions to resolve first
Immediate gift on registration No random prize allocation; focus on personal-data consent, gift quantities and fair distribution
Instant draw, capsule machine or prize wheel Whether it constitutes a lottery, whether entry requires payment or purchase, prize value and announcement arrangements
Draw after registration, results announced later The above, plus winner notification, data retention and consent to publish personal details
Skill competition, quiz or scored game Scoring criteria, fairness, dispute handling and published terms

Display terms at the venue

Show readable entry terms, deadlines, prize quantities, winner-notification methods and data uses on site, rather than only behind a QR link. This supports compliance and reduces disputes.

Lottery-licensing information comes from published Office of the Licensing Authority materials and is for general reference. Confirm whether your event needs a licence, its category and processing time with that office. Have your legal or compliance team approve the terms.

Venue and route planning for exhibition trucks

Exhibition trucks primarily operate at fixed locations

Their value comes from dwell time, displays and interaction. Secure a lawful, suitable venue before arranging the vehicle. Major commercial streets generally do not suit extended displays; stopping may be prohibited at bus, minibus and taxi stops, crossings, expressways, tunnels, controlled areas and no-stopping zones.

Venue feasibility checklist

Send this checklist to venue management together to reduce back-and-forth.Space at the display position does not guarantee vehicle access.

Item to check Common pitfalls
Goods entrance and route clear height Beams, sprinklers and signs reduce usable clearance
Route width and turning space A wide straight section may still lead to an impassable 90-degree turn
Ground and floor load capacity Shopping-centre atriums, raised floors and rooftops have load limits
Ramps, thresholds and level changes Sharp transitions can scrape the underside
Positioning space, including open doors and displays Allowing only the closed vehicle footprint can leave doors obstructing access
Arrival and removal times Access before opening or after closing affects staffing costs
Power source and socket specifications Insufficient venue power requires another arrangement
Fire and emergency access A vehicle or queue obstructing access may be ordered to leave
Insurance requirements and coverage Discovering inadequate coverage just before the event
Visitor and queue routes Queues blocking neighbouring shops cause complaints
Waste, cleaning and reinstatement Failure to restore the venue can lead to a deposit deduction

Multi-stop tours

Each shopping centre or neighbourhood venue needs separate confirmation of access, positioning, hours and permission.Administration increases with each stop; allow more than driving time. For a five-stop tour, coordinating venue approvals can be harder than securing the vehicle.

Government land

The Lands Department, through District Lands Offices, approves use of vacant government land. Offices check availability and consult relevant departments on safety, environmental impacts, pedestrian and vehicle arrangements and local views. Community, organisational and non-profit uses may use form LAO-001. Remember that land approval and event licensing are separate parallel processes and must both be addressed.

Attracting visitors from surrounding areas

While the exhibition truck stays at the main venue, an LED advertising truck or Mini promotional truck can attract visitors along nearby routes, avoiding conflicting stationary-display and touring duties for one vehicle.

For route and parking restrictions, see Mobile advertising truck routes, timing and coverage strategy and Campaign Planning Across All 18 Hong Kong Districts。

How is exhibition truck hire priced?

There is no single fixed price. A complete quotation usually includes:

Vehicle and basic equipment + days and daily hours + vehicle and display production + additional equipment + on-site staff + venue, setup and removal + overtime, transport and contingency arrangements.

Why exhibition truck costs differ from LED trucks

LED truck costs mainly comprise hire and content production. Exhibition trucks add three significant items: setup and removal staff, on-site staff and venue-related costs. A three-day shopping-centre display may need half a day for setup and another for removal, plus two or three promoters each day. These costs can exceed vehicle hire, making the daily rate much less informative than for an LED truck.

Main factors affecting the quote

  • Dates, weekdays, weekends or peak holidays
  • Days, daily hours and setup/removal times
  • Venue, transport distance and harbour crossings
  • Whether all equipment is used: 65-inch TV, scrolling banner, lightbox, sound, air conditioning and Wi-Fi
  • Vehicle stickers, lightbox films, banners, video and promotional materials
  • Promoters, supervisors, assistants, models, MCs and photography
  • Additional power, display racks, furniture and game equipment
  • Food sampling or sales, draws, performances and associated licences
  • Number of venues and administration for multi-stop tours
  • Make-up time, postponement or refunds for adverse weather

Compare more than the daily rate

Check usable hours, whether setup and removal count, equipment, production, staff, fuel, tolls, overtime, venue costs and post-event records. Equal daily rates can cover very different services. Published Hong Kong rental-platform rates indicate about HK$5,500 per day for a standard mobile advertising vehicle and HK$4,900–5,500 for an LED truck. Exhibition trucks also involve staffing and venues, so total costs are not directly comparable with vehicle-only hire.

These published rental-platform prices are market references, not PEAKVEIN quotations or actual exhibition truck prices.

Safety, food, sound and event licences

Overview of statutory application lead times

Application / item Minimum lead time Other requirements
Temporary Places of Public Entertainment Licence: temporary structures required At least 42 days before the event Form FEHB104 and four sets of plans; five sets if laser equipment is involved
Temporary Places of Public Entertainment Licence: no structures, other than a dance party At least 18 days before the event Issued by the Food and Environmental Hygiene Department; fire safety matters may require Fire Services Department involvement
Temporary Food Factory Licence At least 12 working days before the proposed start date Valid for no more than seven days; HK$220; FEHB 201A for individuals or FEHB 201B for companies
lottery licences As required by the Office of the Licensing Authority Handled as an entertainment licence by the Home Affairs Department's Office of the Licensing Authority, with dedicated forms and guidance
Vehicle sticker printing and application Approximately 14 days before the event General market practice, not a statutory requirement

Vehicle body and equipment

Displays, stickers and equipment must be securely installed without obstructing the driver's view or covering lights, reflectors or registration marks. Confirm technical feasibility before structural or electrical changes. The Transport Department's vehicle-alteration guidance recommends consulting the manufacturer or agent before modifications.

Sound and noise

Control interior and exterior audio according to nearby homes, schools, shopping centres and evening conditions. Section 5(1)(b) of the Noise Control Ordinance (Cap. 400) makes it an offence to use a loudspeaker, megaphone or other amplifier at any time in domestic premises or a public place if the noise causes annoyance amounting to a nuisance; vehicle-mounted speakers are also covered. Exercise particular care with the external 4.1 system.

Food and sampling

FEHD guidance requires a Temporary Food Factory Licence before short-term operation of stalls or kiosks at public events selling reheated precooked food or cooking prepared ready-to-cook food for consumption off the premises. The licence lasts no more than seven days, costs HK$220 and requires application at least 12 working days before the intended start. Food sources, equipment, water, drainage, electricity, hygiene and waste must meet FEHD and venue requirements.

Performances and public entertainment

Music, performances, film screenings or temporary structures may require a Temporary Places of Public Entertainment Licence or other approval. Events involving temporary structures have a statutory application lead time of at least 42 days. Confirm this before fixing the date.

Adverse weather

Ordinary rain may not affect the vehicle itself, but outdoor displays, distribution, staff, sound and electrical equipment can be affected. The Labour Department's adverse-weather code advises suspending outdoor work as soon as practicable and arranging safe shelter when an Amber, Red or Black Rainstorm Warning is issued during working hours. Make-up time, postponement and refunds follow the contract.

This information draws on published Transport Department, FEHD, Office of the Licensing Authority, Lands Department and Labour Department materials and the Noise Control Ordinance. It is general information, not legal advice.

How can a mobile exhibition's results be measured?

Execution records

Record venues, dates, arrival and removal times, display hours, photos, video and equipment performance.

On-site participation

Count visitors, dwell time, trials, handouts, gifts, quiz participation and staff contacts. These direct interactions are an exhibition truck's strength and provide data an LED truck cannot.

Digital attribution

Use dedicated QR codes, discount codes, short links or registration pages to measure memberships, appointments, downloads, orders and follow-up enquiries.

Conversion funnel

Track passing traffic → entry or stopping → experience participation → QR registration → later conversion to locate the biggest drop-off. Many passers-by but few entrants usually points to exterior visuals and staff invitations rather than the product itself.

Compare cost by stop

For multi-stop tours, divide each stop's total cost by its valid registrations instead of looking only at the project total. This identifies venue types worth repeating or dropping.

Go beyond estimated exposure

Hong Kong has no shared, publicly audited outdoor-advertising exposure standard. Countable attendance, trials, registrations and conversions usually matter more for exhibition trucks than pass-by exposure. The often-quoted “97% advertising recall rate” comes from an overseas study around 2002 and should not be a performance promise.

Mobile exhibition truck FAQs

What is a multi-purpose promotional or mobile exhibition truck?

It uses its cabin for displays and interaction and is also called a mobile display or showroom truck. Unlike advertising vehicles focused on exposure while driving, it emphasises stationary visits, product displays, videos, explanations, trials, registration and on-site engagement.

What standard equipment is inside?

Listed equipment includes a 65-inch TV, LED scrolling banner, pop-up lightbox, standard pop-up banner, air conditioning, internal 2.1 speakers, external 4.1 speakers and Wi-Fi. Confirm inclusion, actual models and usage in the formal quotation and vehicle confirmation.

What are the actual dimensions of a 65-inch TV?

The 65 inches describes the diagonal. At 16:9, it is approximately 1,439 mm wide and 809 mm high, with a 1.16 m² display area. The LED truck's P3 screen is about 3.5 × 1.8 m, or 6.3 m²—around 5.4 times larger. The TV suits presentations at one to three metres inside; LED suits visibility at a distance outside.

Can we use existing 1920 × 1080 videos directly?

Usually yes. The standard 16:9 TV supports typical landscape 1920 × 1080 material without the special canvas an LED truck requires. Vertical 9:16 social clips leave large black margins and should be adapted. Confirm inputs, formats and codecs against the booked vehicle's specifications.

Can it be a mobile pop-up shop or showroom?

Displays, video, trials, registration and brand experiences can be planned around cabin space, products, venue and event flow. On-site sales, payments, food, special equipment and large products require separate confirmation of commercial, venue, licensing, load and safety requirements.

Can it support product trials, distribution or member registration?

Yes. Combine trials, samples, gifts, QR codes, member registration and staff presentations. Confirm staffing, supply quantities, storage, power, connectivity, queues and post-event data delivery in advance. Collecting data for later promotion must meet the Personal Data (Privacy) Ordinance's direct-marketing requirements.

What legal requirements apply to collecting member details?

Unless an exemption applies, explain the intended direct-marketing use, kinds of personal data, classes of marketing subjects and need for consent before using the data. Provide a response channel and readable, understandable prescribed information. Consent must be explicit and voluntary; silence is not consent.

Is verbal consent enough?

It depends on the use. For the data user's own direct marketing, verbal consent requires written confirmation within 14 days of the date received and permitted kinds of data. Providing data to third parties for direct marketing requires written notice, response and consent.

What happens if direct-marketing data rules are breached?

It is a criminal offence. General breaches carry up to HK$500,000 and three years' imprisonment. Non-compliant provision of data to third parties for direct marketing for gain carries up to HK$1,000,000 and five years. Even with consent, explain the right to opt out on first use and honour later requests without charge.

Does a prize draw need a licence?

Possibly. The Office of the Licensing Authority handles lottery licences as entertainment licences, with dedicated forms and guidance. Confirm the requirement, category and timing first. Display readable entry terms, deadlines, prize quantities, notification arrangements and data uses on site for every format.

Can we play video and use sound?

Use the 65-inch TV with internal 2.1 and external 4.1 speakers. Confirm video proportions, inputs, formats and volume beforehand. Exterior sound must meet venue and noise rules. Section 5(1)(b) of the Noise Control Ordinance prohibits amplified noise in domestic premises or public places that causes annoyance amounting to a nuisance, including vehicle-mounted speakers.

Can Wi-Fi handle livestreaming or large registration volumes?

It supports ordinary scans, registration and online displays, but speed depends on mobile coverage, venue structures and simultaneous users. For streaming, large files or many live registrations, test on site and prepare a fallback such as offline forms or a second connection.

Are touchscreens, VR or large LED walls standard?

They are not included in the listed standard equipment. Request additional interactive equipment before quotation and confirm space, load, power, connectivity, securing methods, venue approval, technical staff and costs.

Can an exhibition truck remain by the roadside in a major shopping district?

Do not assume so. Stopping may be prohibited at bus, minibus and taxi stops, crossings, expressways, tunnels, controlled areas and no-stopping zones. Arrange stationary displays at shopping centres, shop premises, private venues, event sites or approved locations.

Can it be used in shopping centres or indoor exhibitions?

Obtain venue approval and confirm goods access, clear height, turns, floor loading, arrival and removal times, power, fire safety, insurance and position. Even if the display area fits, the access route may not. Measure on site or submit vehicle specifications first.

What should the venue check?

At least eleven items: goods entrance and clear height; width and turning space; ground and floor loading; ramps, thresholds and level changes; positioning space including open doors and displays; arrival and removal times; power and sockets; fire and emergency access; insurance and coverage; visitor and queue routes; and waste, cleaning and reinstatement.

How do I apply to use government land?

District Lands Offices approve use of government land managed by the Lands Department. They check availability and consult departments on safety, environmental impacts, pedestrian and vehicle arrangements and local views. Approval is generally granted without adverse comments, subject to lease terms, rent, fees and deposits. Community, organisational and non-profit uses may use LAO-001. Land approval and event licensing must proceed separately in parallel.

Can the exhibition truck host food sampling?

Assess the activity first. Reheating, cooking or selling food may require a Temporary Food Factory Licence, valid for no more than seven days at HK$220. Submit FEHB 201A or FEHB 201B with proposed layout plans at least 12 working days before the start. Confirm food sources, equipment, water, drainage, hygiene, waste, venue and insurance early.

How early should performance-related applications begin?

Public entertainment involving music, performances, film screenings or temporary structures may require an FEHD Temporary Places of Public Entertainment Licence. Apply at least 42 days ahead for temporary structures, or 18 days for events without structures that are not dance parties. Submit FEHB104 and four sets of plans, or five if lasers are involved.

How far ahead should we book?

Book the vehicle at least a week ahead. Vehicle graphics, lightboxes and banners need longer: allow about 14 days for vehicle stickers and complete lightboxes and banners 7–10 days before the event. Shopping centres, private venues, government land, food, draws, performances or temporary structures may require up to 42 days for approvals. Enquire one or two months ahead for peak periods and multi-stop tours.

How is hire priced?

Pricing includes dates, days, hours, location, setup and removal, transport, equipment, vehicle and display production, extra power, staff, venue, insurance, licences and weather arrangements. Unlike LED trucks, setup, on-site staff and venue costs often dominate. A daily rate alone is less useful; request an itemised quotation.

How many staff are needed?

It depends on scale and objectives. Active invitations strongly affect conversion: briefed promoters can generate several times the participation of the same truck left for passers-by to approach unaided. Plan staffing around expected footfall, trial flow, registration speed and distribution quantities.

What if equipment fails during the event?

Test the TV, audio, scrolling text, Wi-Fi, air conditioning and power beforehand. Specify technical support, fault response, alternatives and responsibilities in the contract. Prepare offline registration so network problems do not stop the process. Actual support depends on the quotation and contract.

Can you provide a performance report?

Agree deliverables before the event. Records can include locations, hours, photos, video, participation, handouts and scans. Dedicated QR codes, discount codes or registration pages can measure memberships, appointments, orders and enquiries. For tours, divide each stop's total cost by valid registrations to guide future venue selection.

Can exhibition trucks work alongside other vehicles?

Yes. The exhibition truck can host displays and interaction, an LED truck can show event information nearby, mini trucks can reach surrounding neighbourhoods, and a stage truck can handle performances and ceremonies. Clear roles work better than expecting one vehicle to tour, display and perform simultaneously.

How do I request an exhibition truck quotation?

Use our contact page、WhatsApp 9011 3184, call (852) 2809 2908 / 2809 2909, or email info@peakvein.com with your event brief: date, backup date, venue, days, hours, products, equipment, staff, sampling, displays and budget. Entrance height, access width and floor-load figures will speed up the assessment.
