Seasonal Promotional Truck Planning: Working Back from Official Holiday Dates

Seasonal campaigns can fail because of poor timing. Wrap printing and installation commonly need around 14 days, while official holiday dates are fixed. Work backwards from the first operating day to set a real production deadline, rather than relying on vague instructions such as “start sometime in November”.
1. Start with official holiday dates
Second half of 2026
| Public holiday | Date | Day of week |
|---|---|---|
| The day following Mid-Autumn Festival | 26 September | Saturday |
| National Day | 1 October | Thursday |
| The day following Chung Yeung Festival | 19 October | Monday |
| Christmas Day | 25 December | Friday |
| The first weekday after Christmas Day | 26 December | Saturday |
Halloween, 31 October, is a retail occasion but not a Hong Kong public holiday.
First quarter of 2027
| Public holiday | Date | Day of week | Notes |
|---|---|---|---|
| New Year's Day | 1 January | Friday | — |
| Lunar New Year's Day | 6 February | Saturday | — |
| The second day of Lunar New Year | 7 February | Sunday | Falls on Sunday |
| The third day of Lunar New Year | 8 February | Monday | — |
| The fourth day of Lunar New Year | 9 February | Tuesday | Substitute holiday because the second day falls on Sunday |
The government published the 2027 holiday list on 15 May 2026, listing 17 public holidays in addition to Sundays. With the second day of Lunar New Year on Sunday, the fourth day is a substitute holiday. The Lunar New Year holiday period therefore runs from 6 to 9 February 2027, shaping retail and dining schedules.
Why the weekday matters
It affects two things. First, whether likely shopping peaks fall on weekdays or weekends : Christmas 2026 is on Friday followed by Saturday's holiday, while Lunar New Year 2027 starts on Saturday. The preceding 1–5 February workweek is a useful final-shopping window, although shopping also occurs earlier. Second, vehicle costs : the cited HK$46,000 weekend rate is about 39% above HK$33,000 on a weekday, so confirm both weekend and public-holiday terms.
2. Work backwards from production and booking lead times
Lead time 1: around 14 days for vehicle graphics
Published market information commonly allows around 14 days for artwork approval, printing, application and curing. Without physical printing, same-day or next-day operation may be possible if the vehicle and approved files are ready.
Make the wrap decision at least around 14 days before the first campaign day, preferably with another week for revisions and delays—about three weeks overall. Confirm the supplier's working-day calendar and holiday closures.
Lead time 2: LED can be much quicker
MP4 or JPEG content may run on the same or following day, subject to vehicle availability, artwork readiness and technical checks. This flexibility helps seasonal campaigns , where offers may be finalised only one or two weeks ahead and countdowns change daily.
Which medium fits the occasion?
| Situation | Suggested medium | Reason |
|---|---|---|
| Only a few days around the holiday | LED | HK$24,800 production allocates about HK$8,267 a day over three days, potentially more than hire |
| Offer details are not yet final | LED | Digital files can change when prices are approved |
| Daily countdowns or changing discounts | LED | Printed graphics require replacement to change the message |
| A full-season campaign, such as all of December | Printed branding plus LED | Stable seasonal imagery in print; changing offers on screen |
| The same seasonal design is used across years | Vehicle body | Printed cast vinyl may last five to seven years vertically under specified conditions; continued use needs agreement |
An important qualification: If the brand repeats Christmas or New Year campaigns, a seasonal design without a year may remain usable across bookings if it stays fitted, the vehicle is available and condition and retention terms permit. Printed laminated cast vinyl commonly has a cited vertical life of five to seven years; unprinted white IJ180mC may reach ten years under specified conditions. This does not mean removed graphics can be reapplied. Compare the media in LED Trucks vs Traditional Vehicle Advertising。
3. Christmas 2026 schedule
Key dates
Christmas Day is Friday 25 December and the following holiday Saturday 26 December. Retail and dining plans may prioritise the 20–25 December period and Christmas Eve, while checking the actual audience and venue patterns.
Week-by-week plan
| Timing | Stage | Action | Basis |
|---|---|---|---|
| Early November | Reserve dates | Confirm vehicle availability and type; choose LED or print | Peak dates may fill one or two months ahead |
| Mid-November | Approve artwork | Finalise print for an early-December start | Allow around 14 days plus a week's buffer |
| Around 11 December, only for a 25 December start | Print-production reference deadline | Begin agreed printing and installation by this point; earlier starts need earlier deadlines | 14 days before 25 December, subject to the supplier's schedule |
| Early December | Warm-up | Run seasonal imagery and offer previews around relevant commercial areas | — |
| 12–19 December | Build interest | Feature gifting and gathering offers near shopping areas | Gift-selection period |
| 20–24 December | Final pre-Christmas push | Update countdowns daily and prioritise relevant evening slots | Potential peak shopping period |
| 25–26 December | Holiday activity | Feature same-day dining and available offers | Both are public holidays |
| 27–31 December | Follow-up | Switch to year-end clearance and New Year's Day, Friday 1 January 2027 | New Year's Day is a public holiday |
Three Christmas planning points
Consider evening activity.Christmas shopping and dining often extend into the evening. LED screens remain visible, but brightness should adjust to conditions to avoid glare. Published outdoor specifications commonly cite 5,000–6,500 nits for daytime capability; do not assume maximum brightness is appropriate at night.
Include weekend and holiday pricing.25 December is Friday and 26 December Saturday, with earlier weekends also relevant. The cited weekend rate of HK$46,000 is about 39% above a HK$33,000 weekday. Public-holiday pricing may differ again. For office audiences, consider some weekday lunch and commute slots.
Update countdown artwork daily.LED can change “X days until Christmas” without physical reprinting. Artwork, scheduling and update charges still depend on the quote; other digital OOH formats can also support countdowns.
4. Lunar New Year 2027 schedule
Key dates and their planning implications
The first day is Saturday 6 February, the second Sunday 7 February, the third Monday 8 February, and Tuesday 9 February is the substitute holiday, creating a four-day holiday period.
With New Year's Day on Saturday, 1–5 February is the final weekday shopping window. Prioritise it where relevant, while using local demand data to decide how much activity belongs in late January and the preceding weekends.
Week-by-week plan
| Timing | Stage | Action | Basis |
|---|---|---|---|
| Early December 2026 | Reserve dates | Confirm vehicles and dates for a busy booking period | Peak dates may fill one or two months ahead |
| Early January 2027 | Approve artwork | Finalise print for an early-December start | Allow around 14 days of production plus a buffer |
| Mid-January or earlier | Print-production reference deadline | Begin agreed printing and installation by this point; earlier starts need earlier deadlines | For a 1 February start, the 14-day reference is 18 January; allow more time for revisions and closures |
| Mid-to-late January | Warm-up | Introduce New Year imagery and shopping offers on LED | — |
| 1–5 February | Final New Year shopping period | Focus suitable routes near markets and shopping centres; feature gifts and reunion dining | The final workweek before New Year's Day on Saturday |
| 6–9 February | New Year visits and gatherings | Feature greetings and dining offers around relevant residential and dining areas | Four-day holiday period, including Sunday |
| From 10 February | Follow-up | Switch to reopening, gathering and Lantern Festival offers where relevant | — |
Three Lunar New Year planning points
Pre-holiday shopping and holiday visits need different messages. For 1–5 February, prioritise relevant markets and shopping areas. For 6–9 February, consider family visits, residential routes and dining areas, subject to actual opening hours and demand.Change the content to match each phase , using LED's flexibility where appropriate.
Take particular care with music in residential areas.Section 5(1)(b) of the Noise Control Ordinance (Cap. 400) covers amplified sound in domestic premises or public places that causes annoyance amounting to a nuisance, at any time. Vehicle speakers are included and the provision specifies no single acceptable decibel ceiling.Seasonal music is not exempt. Control volume and avoid early-morning and night-time disturbance.
Year-neutral graphics may remain useful.Red-and-gold branding without a year or zodiac animal can support later campaigns if it remains fitted under an agreed arrangement. A cited five-to-seven-year material life is conditional, not a guarantee of annual vehicle availability or reapplication after removal.
5. Planning for other holidays
Three other dates in the 2026 calendar
| Occasion | Date | Campaign focus | Suggested medium |
|---|---|---|---|
| The day following Mid-Autumn Festival | 26 September, Saturday | Mooncakes, reunions and gifts; consider the preceding one or two weeks | LED if little preparation time remains; printed graphics require the agreed production window |
| National Day | 1 October, Thursday | Golden Week retail and visitor spending | LED |
| The day following Chung Yeung Festival | 19 October, Monday | Long-weekend shopping and family activities | LED |
The general lesson: a campaign starting in less than three weeks may have a tight print schedule.Allow around 14 days plus revision time where possible. LED is often a practical fallback, subject to readiness and availability; the holiday name itself does not determine whether print is feasible.
A reusable planning formula
- Check official dates first(including weekdays and substitute holidays)
- Identify the relevant buying period(often the preceding one or two weeks, or the holiday itself)
- Count back 21 days from the first operating day as a suggested wrap-decision date: around 14 days of production plus a week's buffer
- Count back 30–60 days from the first operating day as a peak-season vehicle-booking target
- If the print decision window has passed consider LED and focus the budget on useful content and operating hours
6. Three peak-season cost considerations
Consideration 1: the cited weekend premium is about 39%
One supplier publishes both rates: HK$33,000 for one weekday and HK$46,000 for one weekend day—a 39% increase over the weekday price. Two weekend days cost HK$68,000, averaging HK$34,000 a day, below the standalone weekend rate.
Seasonal peaks can overlap weekends, including 26 December 2026 and 6 February 2027. Budget for the actual dates and ask separately about holiday premiums. Weekday lunch and evening slots may suit office audiences.
Consideration 2: availability and seasonal surcharges
Lunar New Year, Christmas/New Year, school openings, major exhibitions and concerts can fill vehicle schedules one or two months ahead. Some dates carry additional charges. For these examples, aim to reserve Christmas vehicles in early November and Lunar New Year vehicles in early December of the preceding year.
Consideration 3: production costs on a short campaign
A cited HK$4,800 design plus HK$20,000 printing/installation totals HK$24,800, or about HK$8,267 a day over three days, above the cited HK$2,500–5,500 LED daily hire range. Production accounts for about 44% of a seven-day all-in example and 24% of a 28-day example.
LED often suits short seasonal bursts. Printed graphics become easier to justify over a full season or agreed continued use, with all retention costs included. For the calculations, see Short vs long hire: comparing real costs and Mobile billboard hire costs 2026: rates and quote breakdown。
7. Vehicle and artwork choices
LED screen trucks for changing seasonal messages
LED can accommodate late-finalised offers, countdowns and evening visibility without repeated printing. Check the actual specification: 5,000 nits is a commonly cited outdoor mobile LED baseline, with many published configurations at 5,000–6,500 nits. Indoor screens and domestic TVs can be much dimmer, though models vary. Match brightness to conditions. For details, see LED advertising truck service page。
Mini vehicles for neighbourhood stores
If the audience is local residents around narrow or older streets, consider a Mini promotional truck , subject to route and access checks. Our mini vehicle has solar power, Wi-Fi and a Maximum load up to 1,000 kg for gifts and sampling materials, with load, space and power checks. For its advantages, see Advantages of mini promotional trucks。
Multifunctional vehicles for seasonal experiences
For trials, sampling or on-site shopping, a Mobile showroom truck can provide racks, trial areas and checkout equipment. The Body Shop's mobile mini-store, delivered by RoadAds, is a public third-party example.
Four elements for seasonal LED artwork
One example screen is 2.24m × 3.52m at 560 × 880 pixels, giving P4 pitch— smaller than a typical phone screenshot. Avoid filling that canvas with decorative detail. Use:
- A seasonal colour theme(such as Christmas red/green or New Year red/gold, using clear shapes rather than fine patterns)
- One main offer(choose one rather than listing everything)
- A genuine time cue(“this week”, “today only” or a countdown)
- One usable response route(keep the QR code in a fixed position)
Use large readable type, strong contrast, few fine lines and 15–30-second loops, matched to the actual screen.A common mistake is placing a detailed seasonal poster directly on LED . A poster can be studied at close range; passing viewers may only glance at the screen for two seconds.
8. Seasonal route planning
Two types of audience activity
| Occasion type | Route focus | Time |
|---|---|---|
| Shopping, such as Christmas gifts or pre-New-Year purchases | Shopping-centre approaches, retail districts and seasonal markets | Late afternoon/evening and relevant weekend daytime slots |
| Gatherings, such as New Year visits or Mid-Autumn reunions | Residential areas, estate approaches and dining districts | Evenings and holiday daytime slots |
Using density for neighbourhood planning
Cited densities are about 7,000 people per km² citywide, compared with Kwun Tong 59,704, Sham Shui Po 46,067, Yau Tsim Mong 44,458, Wong Tai Sin 43,730 and Kowloon City 40,994. Kowloon averages around 47,557, with 30.1% of residents on 4.24% of the land. These figures support compact residential routes but do not measure actual street impressions. For the full 18-district comparison, see our campaign guide to all 18 districts。
Holiday traffic conditions
Busy seasonal areas can be more congested than usual. Consider a tighter route than on an ordinary day , perhaps one or two relevant commercial areas per vehicle. Stopping restrictions still apply at active restricted zones, bus/minibus stops, taxi stands and tunnel/control areas. Post colours provide a reference—red 7am–midnight, yellow 7am–7pm, green 8–10am and 5–7pm, grey other periods—but actual signs prevail.
Temporary traffic measures may also apply during holidays. Recheck the route the day before and monitor updates on the day. For route methods, see Routes, Timing and Coverage Strategies。
9. Four regulatory considerations
1. Seasonal music is subject to noise controls
Section 5(1)(b) of the Noise Control Ordinance (Cap. 400) covers amplified noise in domestic premises or public places that causes annoyance amounting to a nuisance, including vehicle speakers, at any time. It specifies no single acceptable decibel ceiling. Electoral guidelines separately prohibit candidates' campaign loudspeakers from 9pm to 9am; that election-specific rule is not a general safe operating window for commercial advertising.
2. Check food-activity licences
Seasonal promotions often include samples.a temporary stall or kiosk selling reheated pre-cooked food, or cooking prepared ready-to-cook food for off-premises consumption, needs a Temporary Food Factory Licence before operation.Confirm the actual food activity with FEHD and arrange any required licence alongside the vehicle booking.
3. Public entertainment may require a TPPE licence
Public performances, concerts or film screenings may require a Temporary Places of Public Entertainment Licence from FEHD under Cap. 172, subject to the event and any exemptions— with applications at least 42 days ahead for temporary structures or 18 days without. These application windows can exceed wrap-production lead times, so plan earlier. For the process, see event production and TPPE licensing guide。
4. Physical limits on vehicle graphics and decorations
Seasonal decorations must meet the Road Traffic (Construction and Maintenance of Vehicles) Regulations: do not obstruct the driver's view, mandatory lights or reflectors, or the registration number, and all installations must be secure. Seek manufacturer or agent advice before roof or three-dimensional modifications and check applicable vehicle approvals.
10. Measurement and weather arrangements
Clear phases help organise seasonal tracking
Use a separate offer code or QR code for each phase , such as teaser, peak period and year-end clearance. Record scans and redemptions separately; basic tracking can be inexpensive but does not prove all incremental sales.
Also require contractual route logs and on-site photos/videos; some fleets offer real-time GPS. Count distribution and participation where staffed. A public RoadAds campaign covered over 40 locations, reached over 30,000 people and engaged over 6,000 participants; 35% expressed interest in learning more and buying. This is an interest measure, not completed purchases.
Treat a familiar statistic carefully
You may see a claim of “97% advertising-truck recall”. It has a cited source, but not Hong Kong data . It comes from US Transportation Advertising Council of America research reported in July 2002's Outdoor Advertising magazine. Its era and market differ from present-day Hong Kong, so it should not determine the budget. For the source discussion, see Public case studies and the “97% recall” claim。
If the holiday has severe weather
The holiday cannot move, making contingency terms particularly important. Some operators continue in ordinary rain and may operate under Amber Rain or Signal No. 3, subject to a safety assessment. Arrangements for Signal No. 8 or above, Black Rain or government-declared extreme conditions should follow current Labour Department guidance. Signal No. 3 corresponds to 41–62km/h sustained winds, No. 8 to 63–117km/h; Black Rain means widespread rainfall exceeding 70mm an hour recorded or expected. Unsafe local conditions may require stopping earlier.
Negotiate seasonal rescheduling terms specifically: post-holiday activity may be less useful. Ask whether unused hours can be refunded or moved to another relevant peak, rather than automatically shifted to the next day. Any such arrangement must be agreed in writing.
11. Frequently asked questions
When are Christmas 2026 and Lunar New Year 2027?
Christmas Day is Friday 25 December 2026, and Saturday 26 December, the first weekday after Christmas Day, is also a public holiday. Lunar New Year 2027 starts on Saturday 6 February; the second day is Sunday 7 February and the third Monday 8 February. Tuesday 9 February is the substitute holiday for the second day falling on Sunday. The holiday period spans 6–9 February. The government published the 2027 list on 15 May 2026, listing 17 public holidays in addition to Sundays.
How far ahead should seasonal truck promotion be planned?
Work backwards from the first operating day. Printed wraps commonly need around 14 days, with roughly three weeks preferable for revisions and a buffer. Peak vehicle dates may fill one or two months ahead: early November is a useful Christmas booking target and early December for the following Lunar New Year. Where a TPPE licence is required, relevant application deadlines are at least 42 days with temporary structures or 18 days without, so event licensing may be the longest constraint.
Can a campaign run with less than three weeks to prepare?
Often, subject to vehicle and artwork availability. LED may run the same or following day once files are approved and checked, while a new wrap may miss its usual production window. LED can also change late-finalised offers and countdowns without reprinting. Confirm creative, scheduling and update fees rather than assuming changes are free.
Should seasonal campaigns use LED or printed graphics?
Short bursts and changing offers often favour LED. A cited HK$24,800 wrap-production cost allocates HK$8,267 a day over three days, above the cited HK$2,500–5,500 LED hire range. A full-season campaign may combine stable printed branding with changing LED offers. Year-neutral graphics may remain fitted across future bookings if condition, vehicle availability and retention terms allow; material life alone does not guarantee reuse or reapplication after removal.
What does Lunar New Year's Day falling on Saturday mean for 2027 planning?
The final pre-holiday workweek is 1–5 February, a useful window for gifts, food and reunion preparations. Do not assume all demand occurs then; check late-January and weekend activity too. Shopping routes can focus on markets and retail areas, then change to residential visits and dining during 6–9 February. Match the content and opening hours to each phase.
How much more can seasonal promotion cost?
Confirm weekend and peak-date charges separately. One supplier lists HK$33,000 for a weekday, HK$46,000 for a weekend day (39% above the weekday base), and HK$68,000 for two weekend days (HK$34,000 a day). Holiday pricing may differ. Christmas/New Year and Lunar New Year dates can fill one or two months ahead and may carry surcharges. Weekday lunch and commute slots may suit some office audiences.
What should seasonal LED artwork include?
Use a clear seasonal colour theme, one main offer, a genuine time cue and one usable response link in a fixed position. A screen such as 2.24m × 3.52m at 560 × 880 pixels has less detail than a typical phone screenshot, and viewers may look for only two or three seconds. Simplify rather than putting a detailed poster directly onto the screen.
Can a vehicle play New Year music in residential areas?
Speakers are subject to section 5(1)(b) of the Noise Control Ordinance (Cap. 400). Amplified sound causing annoyance amounting to a nuisance in domestic premises or a public place can be an offence at any time, including vehicle speakers. There is no single specified acceptable level. Election guidelines separately restrict candidates' loudspeakers from 9pm to 9am; they do not create a permitted commercial-advertising window. Control volume and avoid residential disturbance, especially early or late.
Do seasonal sampling promotions need a food licence?
Check the exact activity with FEHD. A temporary stall selling reheated pre-cooked food or cooking prepared ready-to-cook food for off-premises consumption requires a Temporary Food Factory Licence before operation. Other sampling or drinks arrangements may have different requirements. Plan this alongside vehicle booking, and confirm stock weight, space and power. Our mini vehicle offers up to 1,000kg payload, solar power and Wi-Fi.
What should holiday routes account for?
Three things: heavier congestion may favour one or two focused commercial areas per day; ordinary stopping restrictions still apply at active restricted zones, bus/minibus stops, taxi stands and tunnel/control areas; and temporary holiday traffic measures may change access. Actual signs take precedence over post colours. Recheck the route the day before and monitor updates during operation.
What if severe weather falls on the holiday?
Some operators continue in ordinary rain, Amber Rain or Signal No. 3 subject to safety assessment. Suspension arrangements for Signal No. 8 or above, Black Rain or government-declared extreme conditions should follow current Labour Department guidance. No. 3 corresponds to 41–62km/h sustained winds and No. 8 to 63–117km/h; Black Rain means widespread rain exceeding 70mm an hour recorded or expected. Because later dates may lose seasonal value, negotiate unused-hour refunds or another relevant peak in writing where available. Unsafe local conditions can require earlier suspension.
How should seasonal campaign results be measured?
Give each phase its own QR or offer code and record scans, registrations and redemptions separately. Require route logs and on-site photos/videos; count samples and participation where staffed. Responses can be delayed by one or two weeks, but time-limited offers also need prompt redemption reporting. Compare with suitable baselines and account for other seasonal promotions rather than attributing every sale to the vehicle.
