10 Mobile Billboard Rental Questions: Booking, Routes, Operators and Fees

Mobile advertising truck rental: booking, routes, operators and pricing

“How far ahead should I book?”, “Can I choose the route?” and “How are charges calculated?” Too often, the answer is simply “it depends”. Here we give reference figures: around 14 days for production, 42 or 18 days for relevant licence applications, HK$200–300 an hour for overtime and HK$800 a day for an event supervisor. Each answer also explains what to ask your supplier.

Question 1: How does booking work?

Five steps

  1. Submit your requirements.Contact the supplier by phone, WhatsApp, email or an online form. Explain your objective, dates, target areas and budget range.
  2. Confirm the vehicle and the definition of service hours. This crucial step is often skipped. Ask how many hours a “day” includes, when the clock starts and whether travel to the first location counts. Suppliers use different definitions.
  3. Obtain an itemised quote.Separate vehicle hire, production, staffing, overtime and additional journeys. A single total is difficult to compare with another supplier's offer.
  4. Confirm the artwork and route.Supply brand assets or artwork and agree the route and schedule. For a printed vehicle wrap, aim to complete this stage around 14 days before the event.
  5. Confirm the booking and deliverables. The contract should specify route logs, on-site photos or videos, and arrangements for adverse weather.

Three questions for a first booking

“How many hours are included and when do they start?”, “Does this price include wrap production and installation?” and “What equipment is on the vehicle?”These answers put competing quotes on a comparable basis. For a full approach to requesting prices, see Mobile billboard hire costs 2026: rates and quote breakdown。

Question 2: How far ahead should I book?

Allow for the longest of three constraints

ConstraintTime requiredBasis
Vehicle availabilityAt least one week recommendedPeak dates before Lunar New Year, Christmas/New Year, school terms, exhibitions and concerts may fill one or two months ahead and carry surcharges
Vehicle graphic productionApproximately 14 daysPublished market information suggests around 14 days for printing and installation. Without printing, same-day or next-day operation may be possible, subject to vehicle availability.
Event licensing42 or 18 daysWhere a Temporary Places of Public Entertainment Licence is required for a performance, submit the application at least 42 days ahead if temporary structures are involved, or at least 18 days ahead without them.

What this means in practice

For an event less than two weeks away, a conventional printed wrap may miss the production window; an LED-only campaign is often the practical option.LED campaigns need MP4 or JPEG files and may run on the same or following day if a vehicle is available. An event involving performances and temporary structures needs much longer: allow around ten weeks overall, with industry guidance recommending licence preparation eight to ten weeks ahead.

Make decisions in the right order

Announcing a date before checking lead times can leave too little preparation time. A better sequence is: Confirm the required event licence and category → check whether printed vehicle graphics are needed → then fix the date. For the licensing process, see event production and TPPE licensing guide。

Question 3: Can I choose the route?

Yes—route choice is a central advantage

Specify the streets, commercial areas and time slots you want to reach. A fixed billboard buys one location; an advertising truck offers a planned route. You could concentrate on the shop's neighbourhood on opening day, pass a concert venue around the end of a show, or cover two or three commercial areas at different times.

Driving through and stopping are different

This distinction is often overlooked. The Transport Department's Road Users' Code lists locations where drivers must not stop, even to pick up or set down passengers or goods. These include expressways, restricted zones during their operating hours, zebra or light-controlled crossings, bus and public light bus stops, taxi stands, tunnel areas and control areas. Signpost colours provide a reference for restricted hours:

Post colourRestricted hours
Red7am–midnight
Yellow7am–7pm
Green8–10am and 5–7pm
GreyOther hours

Keep two points in mind: Post colours are only a guide; the restriction sign determines the actual hours. Green-post restrictions include 5–7pm, precisely the evening commute, so vehicles may pass through but cannot stop during those hours. Also, do not stop at or near school entrances, even for pupil pick-up or drop-off. School-area campaigns should pass safely along nearby roads or use a lawful parking location, without obstructing traffic or entrances.

Stationary displays need an appropriate venue

Many central streets in Mong Kok, Causeway Bay and Tsim Sha Tsui have timed or all-day stopping restrictions. Extended roadside displays are generally impractical.Arrange stationary displays at a shopping centre, private property, an event venue, or government land with the necessary District Lands Office approval.Obtain written permission from the owner or management company before entering private property.

How many areas should one day cover?

Concentrating on two to four adjacent commercial areas is usually more realistic than maximising the district count. Congestion slows movement; long transfers consume useful campaign time; and brief visits reduce repeat exposure. Plan two or three small loops and switch between them by time slot. For the full method, see Routes, Timing and Coverage Strategies and our campaign guide to all 18 districts。

Question 4: Must I arrange a driver or operator?

A driver is usually included

Market quotes generally include a driver.Clarify the service-hour definition . Some suppliers offer eight operating hours within 10am–10pm; others offer nine hours from arrival at the target location, excluding the outward journey. The latter provides more usable time, particularly for distant venues. Overtime is commonly charged at about HK$200–300 an hour.

Playing LED content

LED content is normally scheduled in advance and does not need a dedicated on-site operator. If you want frequent updates, such as live offers or event footage, specify this when requesting a quote so technical support can be arranged.

Event staff are a separate cost

Sampling, demonstrations, QR-code rewards and registrations need staff, usually charged separately. Published market rates provide a reference:

RolePublished rate (HK$)Responsibilities
Event supervisor800 / dayScheduling, coordination and incident handling
Assistant150 / hourEvent support, crowd management and stock organisation
Promoter200 / hourIntroducing the brand and products; distributing materials
ModelFrom 400 / hourAttracting attention and presenting products

For an eight-hour sampling event, one supervisor (HK$800), two promoters (HK$200 × 8 × 2 = HK$3,200) and one assistant (HK$150 × 8 = HK$1,200) total about HK$5,200 in staffing alone— comparable to a full day's hire for some vehicles.Budget for staff alongside vehicle hire whenever the campaign includes interaction. For coordinated support, see Event production services。

Who carries the stock?

For food or product samples, confirm the vehicle's payload. Our Mini promotional truck has a payload of up to 1,000kg, solar power and Wi-Fi; Mobile showroom truck can also accommodate display racks, demonstration areas and even checkout equipment. If a temporary stall or kiosk sells reheated pre-cooked food, or cooks prepared, ready-to-cook food for consumption off the premises, apply to the Director of Food and Environmental Hygiene for a Temporary Food Factory Licence。

Question 5: How are charges calculated?

Three common quote formats

Model 1: Rental-platform listing prices. An LED promotional truck is listed at HK$5,500 a day, HK$35,000 a week or HK$90,000 a month; another mobile advertising vehicle at HK$105,000 a month. Industry articles also cite around HK$2,500–5,500 a day for a standard LED truck, including driver and fuel but excluding initial wrap production.

Model 2: Rates based on booking length. From around HK$4,500 a day for seven days, HK$3,500 for 14 days and HK$2,800 for 28 days, with bookings over 30 days quoted separately. Design at about HK$4,800 and printing/installation at about HK$20,000 are additional.

Model 3: A complete roadshow package.Published prices include HK$33,000 for one weekday, HK$60,750 for three consecutive days, HK$46,000 for one weekend day, HK$88,000 for one week and HK$268,000 for four weeks. These include a driver, emergency coordinator, two 50-inch LCD TVs, LED banners on both sides, generator, speakers, air conditioning, 4G Wi-Fi, carpet and vehicle-wrap production and installation.

Why can a “day” cost HK$2,800 or HK$33,000?

The difference has practical explanations. HK$2,800 is a daily rate within a 28-day booking, not a standalone one-day price. Tiered hire excludes design and installation that a package may include. Packages can add exhibition equipment, a coordinator, TVs, air conditioning and carpet. The number of service hours can also differ.Compare the total cost of completing your campaign and the usable hours per day, rather than the headline daily rate alone.

What is generally included or extra?

Common inclusions: Vehicle hire, driver, fuel, tunnel tolls (usually one return trip), generator and sound equipment, basic onboard facilities such as air conditioning, LCD TV, header banner, Wi-Fi or 4G depending on the supplier, and the vehicle's own third-party motor insurance.

Common extras: Wrap design (published prices HK$1,800–4,800), printing and installation (HK$4,000–20,000 depending on vehicle and coverage), LED content production, overtime, extra screens or generators, event staff, additional tunnel crossings or inter-district trips, access arrangements for specified private venues, and the client's event liability insurance.

Weekend and peak-season premiums

One supplier publishes a weekday rate of HK$33,000 and a weekend rate of HK$46,000 for one day—an increase of about 39%. A two-day weekend package at HK$68,000 averages HK$34,000 a day, showing a consecutive-booking discount. Weekdays may offer better value when targeting office workers. For the full breakdown, see Advertising vehicle hire costs in 2026 explained。

Question 6: What information and materials do I need?

Campaign requirements that shape the quote

  • Objectives and success measures, such as first-week walk-ins or event registrations
  • Campaign dates and desired operating hours
  • Target streets and commercial areas—use road names, not broad labels such as “Kowloon East”
  • Harbour crossings and inter-district travel, which affect tolls and usable cruising time
  • Whether you need staff, distribution or food sampling, with staffing and possible food-licence implications
  • Budget range

LED content files

MP4 video and JPEG images are commonly accepted. Match the exact screen specification: Hong Kong configurations include side screens around 2.4m high × 5.76m wide and rear screens around 2.4m × 2.24m, as well as 2.24m × 3.52m screens with 560 × 880 pixels.

Your canvas may be only a few hundred pixels wide—smaller than a phone screenshot.Detailed artwork that looks good on a computer may become unreadable on the truck. Use one message per frame, type readable from ten metres, strong contrast and few fine details. Keep the call to action in a fixed position and use 15–30-second content loops. Pedestrians may only glance for two or three seconds. Request the actual vehicle's canvas dimensions and safe areas.

Artwork for a printed wrap

Prepare brand assets—logo, colours and fonts—the main message, and a flat artwork template for the actual vehicle . Vehicle surfaces have curves, windows and wheel arches, so an ordinary flat design needs adaptation. Advertising must not obstruct the driver's view, mandatory lights, reflectors or registration plates under the Road Traffic (Construction and Maintenance of Vehicles) Regulations. For production guidance, see The complete advertising truck production process。

Additional requirements for particular industries

First-hand residential developments are regulated by the Residential Properties (First-hand Sales) Ordinance (Cap. 621)— advertisements must use saleable area when stating area and prices per square foot or square metre; contravention is a criminal offence. Where a sales brochure is already available, the advertisement must advise prospective buyers to consult it. Have the vendor's legal or compliance team review the artwork. For campaign planning, see Property launches and major events: regulation, timing and deployment。

Question 7: How long can I hire a vehicle, and what term makes sense?

One day is a common minimum; calculate the total average cost

One day is a common minimum booking, but the decision should consider the all-in average daily cost after allocating production expenses:

Rental periodVehicle hire subtotalAdd 4,800 design + 20,000 printing/installationAverage all-in daily costProduction share
7 days31,50056,300About 8,043About 44%
14 days49,00073,800About 5,271About 34%
28 days78,400103,200About 3,686About 24%

For one- to three-day events, LED is often preferable: no physical wrap production and content can change the same day. A printed wrap becomes easier to justify over three weeks or more.Wrap production is a one-off cost, whether the hire lasts three days or thirty.

Vehicle graphics can last for years

This is often overlooked. Printed cast vinyl with a compatible protective laminate commonly has an expected service life of 5–7 years vertically and 3–5 years horizontally; 3M Wrap Film offers warranties of up to eight years on vertical surfaces, while unprinted white 3M IJ180mC film has an expected performance life of up to ten years. Subject to condition, vehicle availability and supplier arrangements, an unchanged design may remain fitted across campaigns. Allocating HK$24,800 over seven days gives about HK$3,543 a day, over 28 days about HK$886, and over 84 days about HK$295. Shelf life is separate: typically two to three years from manufacture unopened, or one year after opening. Removed adhesive graphics should not be assumed reusable.

Staged campaigns may outperform continuous bookings

One package supplier's published rates show diminishing additional discounts after a week: about HK$12,571 a day for one week (62% below a single day), HK$9,571 for four weeks (71% below), and HK$8,143 for five weeks (75% below). The fourth-to-fifth-week difference adds only around four percentage points to the discount.Beyond a week, check whether continuous presence is necessary, or whether the budget is better divided into three warm-up days, two event days, two days on the first weekend and three month-end promotion days, subject to booking terms. See the comparison of Short- versus long-term rental value。

Question 8: What happens in bad weather?

Common industry arrangements

Some published operator policies provide for operation in ordinary rain, under the Amber Rainstorm Warning and at Tropical Cyclone Warning Signal No. 3, subject to safe conditions, with separate arrangements for more severe weather.

When should activities stop?

The Labour Department's Code of Practice in Times of Adverse Weather and “Extreme Conditions” provides guidance on work arrangements— outdoor and exposed work should be suspended and workers moved to safety during Tropical Cyclone Warning Signal No. 8 or above, a Black Rainstorm Warning, or government-declared “extreme conditions”. Follow the current guidance and the agreed safe travel arrangements.

Warning levelDefinitionTypical arrangement
Tropical Cyclone Warning Signal No. 3Sustained winds of 41–62km/hMay continue subject to conditions and the operator's safety assessment
Tropical Cyclone Warning Signal No. 8Sustained winds of 63–117km/hSuspend
Amber Rainstorm Warning—May continue subject to conditions and the operator's safety assessment
Black Rainstorm WarningWidespread heavy rain exceeding 70mm an hour has fallen or is expectedSuspend

The Red Rainstorm Warning sits between Amber and Black. Vehicle operations require an assessment of road and site conditions; outdoor distribution, games and performances may need to stop. A warning level is not automatic clearance to proceed. Some contracts provide for resumption within two hours of cancellation and completion of remaining hours, but this must be confirmed with the operator and remain safe.

Put three points in the contract

  1. The warning levels that trigger suspension(to avoid disputes on the day)
  2. How unused hours are rescheduled or made up
  3. How replacement dates are reserved(to avoid peak-season availability conflicts)

Performances also depend on artist and venue availability, so their cancellation and rescheduling terms need particular detail.

Question 9: How can I measure effectiveness?

A figure to treat carefully

You may see a claim of “97% advertising-truck recall”. It has a cited source, but not Hong Kong data . It comes from US Transportation Advertising Council of America research reported in July 2002's Outdoor Advertising magazine. Related American Trucking Association material states that 91% of the target audience noticed truck-ad text and graphics. The research dates to around 2002 and concerns the US. Hong Kong has a different street and attention environment and no shared public industry audit standard for OOH impressions.Do not use it as a budget assumption or performance guarantee. For the full source trail, see Public case studies and the “97% recall” claim。

From verifiable records to assumptions

  1. Delivery: directly verifiable Route logs showing actual roads, times and stationary display durations, plus on-site photos and videos. Some fleets have real-time GPS tracking on all vehicles, allowing position and traffic checks.
  2. On-site activity: countable Contacts, participants, samples distributed and QR scans. One published Hong Kong campaign covered more than 40 locations, directly reached over 30,000 people and engaged over 6,000 participants; 35% expressed interest in learning more and buying. RoadAds delivered this third-party campaign; expressed interest is not a completed purchase.
  3. Attribution: trackable Use a campaign-specific QR code, a truck-only offer code, a dedicated short URL or a designated telephone number. These can be inexpensive to set up, yet are often omitted. An LED truck can also alternate two creatives with different QR codes for a same-day comparison.
  4. Exposure: estimated Reach and CPM require explicit assumptions kept consistent throughout.

Use a baseline for business outcomes

Store visits, direct website traffic, branded searches and sales need a comparison to assess attribution. Compare an equivalent pre-campaign period or a branch without the campaign. Responses to outdoor advertising can be delayed; continue monitoring for around fourteen days after the campaign before drawing conclusions.

Question 10: How do I choose a supplier? Ten questions to ask

Instead of relying on phrases such as “experienced” or “well regarded”, ask these concrete questions. Specific answers reveal how the supplier actually operates.

  1. How many hours are in a “day”, when do they start, and does the outward journey count?
  2. What are the LED screen's physical dimensions and pixel resolution?(dividing physical dimensions by pixel counts lets you check pixel pitch and “HD” claims)
  3. What is the brightness in nits?(5,000 nits is a commonly cited outdoor mobile LED baseline; published configurations often range from 5,000 to 6,500 nits)
  4. What are the vehicle height, length, gross weight and turning radius?(these determine access to venues and car parks)
  5. What is the payload limit?(this affects practical distribution and display capacity)
  6. What are the power source and output limit; is a separate generator required?
  7. Can you provide an itemised quote?(separate hire, production, staff, overtime and additional journeys)
  8. What vinyl grade is used, and is matching laminate included?(this affects durability and possible continued use)
  9. How many working days does production need?(printing and installation commonly require around 14 days)
  10. What evidence of delivery is included, and can it be written into the contract?(route logs, on-site photos/videos and submission deadlines)

Additional points: insurance and licences

Two layers of insurance

The supplier should have the vehicle's third-party motor insurance and may also carry public liability cover for events or venues. Check the actual policy scope rather than assuming both are included. Suppliers may also recommend that the client obtain separate event insurance. Crowd activities, food sampling and stage performances can create organiser liabilities beyond vehicle operation. Request written details of coverage before signing.

A common licensing misunderstanding

Section 52A of the Road Traffic Ordinance (Cap. 374) defines and restricts “advertising vehicles”, but the Transport Department's stated permit policy is for non-commercial purposes . As at 2 September 2025, only seven such permits were valid. Commercial campaigns commonly use ordinarily licensed goods vehicles or vans with compliant graphics or LED installations. This does not exempt a vehicle or installation from applicable approval, construction, road-use or parking requirements. For more, see Twenty frequently asked questions about mobile promotional vehicles。

Sound

Vehicle speakers remain subject to section 5(1)(b) of the Noise Control Ordinance (Cap. 400). At any time, amplified noise in domestic premises or a public place that causes annoyance amounting to a nuisance can be an offence. Vehicle-mounted loudspeakers are included; the provision does not set a single acceptable decibel ceiling.

Frequently asked questions

How far ahead should I book an advertising truck?

Allow for the longest constraint. A week is a common minimum recommendation for vehicle availability, while Lunar New Year, Christmas/New Year, school openings, major exhibitions and concerts may book out one or two months ahead. Printing and installation commonly need around 14 days; without printing, same-day or next-day operation may be possible if a vehicle is available. Where a Temporary Places of Public Entertainment Licence is required, apply at least 42 days ahead with temporary structures or 18 days without them. For events less than two weeks away, LED is often more practical than a new printed wrap.

How many hours does a rental “day” include?

Common definitions are eight operating hours between 10am and 10pm, or nine service hours from arrival, excluding the outward journey. The latter can benefit distant venues. Ask about hours, billing start and travel time before comparing quotes. Overtime commonly costs around HK$200–300 an hour.

Can I decide the entire route?

You can propose the route, but driving through is different from stopping. The Road Users' Code prohibits stopping, including for loading or unloading, at locations such as expressways, active restricted zones, zebra or light-controlled crossings, bus/minibus stops, taxi stands and tunnel/control areas. Signpost colours provide a guide: red 7am–midnight, yellow 7am–7pm, green 8–10am and 5–7pm, grey other periods. The actual sign takes precedence. Plan to drive through central commercial streets and use an authorised shopping centre, private venue or other permitted location for stationary displays.

Do I need to arrange a driver?

A driver is generally included. Clarify hours: some offers cover eight hours within 10am–10pm; others provide nine hours from arrival at the target location. Scheduled LED playback normally needs no dedicated on-site operator, but frequent live updates may require technical support agreed at quotation. Event staff are usually extra: published rates include about HK$800 a day for a supervisor, HK$150 an hour for an assistant, HK$200 an hour for a promoter and HK$400 an hour upwards for a model.

How much should I budget for distribution staff?

For an eight-hour sampling event, one supervisor costs HK$800, two promoters at HK$200 an hour cost HK$3,200, and one assistant at HK$150 an hour costs HK$1,200: about HK$5,200 in total, comparable to some vehicles' daily hire. Include staffing in the initial budget. Selling reheated pre-cooked food or prepared ready-to-cook food from a temporary stall for consumption off the premises requires a Temporary Food Factory Licence from the Director of Food and Environmental Hygiene.

How do the three pricing models differ?

Rental-platform listings include HK$5,500 a day, HK$35,000 a week and HK$90,000 a month for an LED truck. Tiered offers include about HK$4,500 a day for seven days, HK$3,500 for 14 days and HK$2,800 for 28 days, plus around HK$4,800 for design and HK$20,000 for printing/installation. Roadshow packages include HK$33,000 for a weekday, HK$88,000 for a week and HK$268,000 for four weeks, with a driver, coordinator, two 50-inch TVs, side LED banners, generator, air conditioning, 4G, carpet and wrap production/installation. Inclusions, vehicle specification and hours explain the differences. Compare total campaign costs.

Should a short hire use a printed wrap or LED?

LED is often preferable for three days or less. At published tiered rates, seven days cost HK$31,500 for hire plus HK$4,800 design and HK$20,000 printing/installation: HK$56,300 total, about 44% production. At 28 days, the HK$103,200 total is about 24% production. Wrap production is a one-off expense. Printed and laminated cast vinyl may last five to seven years on vertical surfaces under specified conditions, so an unchanged design may remain fitted across campaigns by agreement. Do not assume removed graphics can be reinstalled.

What artwork do I need?

LED suppliers commonly accept MP4 or JPEG matched to the screen. Examples include a 2.4m × 5.76m side screen or a 2.24m × 3.52m screen at 560 × 880 pixels. A canvas may be only a few hundred pixels wide, so use large type, strong contrast and little text. A printed wrap needs brand assets, the main message and the actual vehicle's artwork template to account for curves, windows and wheel arches. Do not obstruct driver visibility, mandatory lights, reflectors or number plates. First-hand residential property advertising must also comply with the saleable-area requirements of Cap. 621.

When does bad weather stop a campaign?

Some operators continue in ordinary rain, under Amber Rain or Signal No. 3, subject to a safety assessment. More severe weather requires separate arrangements. Labour Department guidance addresses suspension of outdoor/exposed work and safe shelter during Signal No. 8 or above, Black Rain or government-declared extreme conditions. Signal No. 3 corresponds to sustained winds of 41–62km/h and No. 8 to 63–117km/h; Black Rain means widespread rain exceeding 70mm an hour has fallen or is expected. The contract should specify suspension triggers, how unused hours are made up and how replacement dates are reserved. Warning levels do not override unsafe local conditions.

How can I verify that the agreed route was completed?

Specify two kinds of evidence in the contract: route logs showing actual streets, times and stationary durations, and on-site photos/videos. Some fleets provide real-time GPS tracking. Images can also support social-media content. Agree the deliverables and submission deadline before the event. For estimated impressions, ask for the measurement method and sampling period: Hong Kong has no shared public industry audit standard for outdoor-ad impressions.

Who handles insurance?

Check two layers. The supplier should carry the vehicle's third-party motor insurance and may have event or venue public liability cover; obtain the actual scope in writing. Clients may need separate event insurance for organiser liabilities, especially crowds, food sampling, performances or interactive games. Confirm coverage and exclusions before signing rather than assuming the vehicle policy covers every activity.

What should I ask a supplier?

Ask ten concrete questions: service hours and start time; LED physical dimensions and pixel resolution; brightness in nits; vehicle height, length, weight and turning radius; payload; power source and maximum output; itemised pricing; wrap material grade and protective laminate; production lead time; and contractual delivery evidence. Specific answers help assess the operator. Obtain itemised quotes from two or three suppliers and compare total campaign costs.
